This page is not accessible through the directory indexes. It contains help information for members of the directory.


General

If you are new to the schedule editing facilities, or have not used the advanced facilities before, we recommend you print this page before continuing.

Please keep each entry brief and to the point. Don't waste space repeating the obvious (like your email address or phone number). If necessary, qualify each entry as to whether it applies to individuals, whole boat charter, or whatever in-between.

Excessively verbose or irrelevant entries may be automatically filtered from appearing on the Deepsea search engines, or reduced to just “see boat for details”.

Once a date is fully sold, please mark it as such or delete it. Leaving obsolete information on a list may frustrate users and deter them from using the list again.

Facilities

Basic Schedule Edit allows you to directly enter and edit one entry at a time in your schedule. Advanced Schedule Edit allows you to:

  1. Bulk Edit the same description for multiple dates at the same time.

  2. Upload a file of schedule entries you have already prepared on your own computer.

  3. Download a schedule from deepsea.co.uk to your own computer (use this to make a backup copy of a schedule).

Common Comamnds

Some commands behave in a similar way across all schedule editing facilities:

Your schedule will be primarily for Angling or Diving. However, if your boat is listed on both the Angling and Diving indexes of deepsea.co.uk, some pages will also present you with a set of radio buttons:

Angling
Diving
Both

Any entry you make will default to just your primary activity of Angling or Diving. Clicking the appropriate radio button will mark the specified date(s) accordingly and enable them to be located by the associated search engine.

You can also add a comment to any schedule item. Comments will not be displayed to the general public, so you can use them to keep your own private notes.


Basic Schedule Edit

To preview how the finished list will look, click the link marked “Preview” at the bottom of the list.



Advanced Edit

Click to switch to the Advanced Schedule Editor. The main menu gives you a choice of the following:

  1. Bulk Edit the same description for multiple dates at the same time.

  2. Upload a file of schedule entries you have already prepared on your own computer.

  3. Download a schedule from deepsea.co.uk to your own computer (use this to make a backup copy of a schedule).

Bulk Edit

Bulk Edit provides a caledar display for entering the same description for multiple dates at the same time, for deleting multiple dates, or for marking multiple entries as “Sold” or “Full”.

Select the Month and Year you want to begin with, the number of Month(s) you want to edit, and click to begin. You will be presented with the familiar Description and Cost fields followed by a calendar display of one or more months.

You can select any number of days by clicking the appropriate check box for each date. Any , or will act on all the checked dates. or will only act on checked dates for which entries already exist.

Days for which you already have schedule entries will appear with a link such as “25”. Clicking the link will give a preview of the entry. Hovering the mouse over the link will provide information about the entry in the status bar of the browser window.


Schedule Upload

Upload will take a file of schedule entries you have already prepared on your own computer and or them to your schedule.

  1. On your own computer, prepare the schedule file for upload.

  2. On the Advanced Schedule Edit page, go to the Schedule Upload section. Use the button to locate the file you have prepared. Then click .

  3. If the file is accepted, you will be presented with the system's interpretation of the schedule entries in your file. Read and check these carefully to make sure the system has interpreted your file correctly.

  4. If anything is wrong with the displayed schedule entries, click , make whatever changes are needed in the file on your own computer, and start the upload again.

  5. When you are happy with the displayed upload entries, click or to commit them into your schedule.

Remember, the upload will not be added to your deepsea schedule until you click or , But once or are clicked, the upload cannot be undone.


Upload File Formats

Schedule upload currently accepts files in the following formats:

  1. Text (Tab Delimited)” - A text file where each line is a single schedule entry. The line begins with a date such as 25-Dec-2003 or 25/12/03 followed by a description and then a cost. The date, description and cost are separated by <tab> characters.

  2. CSV (Comma Separated Values)” - Similar to above, except the date, description and cost are separated by ,” (comma) or ;” (semicolon) characters.

If you would like Schedule Upload to work with a different file format, let us know and we will see what we can do for you.


Preparing Schedules for Upload Using a Spreadsheet

The easisest way to prepare a schedule for upload is with a spreadsheet such as Microsoft Excel:

  1. On a new spreadsheet enter your schedule in 3 columns corresponding to Date, Description and Cost. You don't need to give these columns headings.

  2. Each entry on your schedule must be a single row of the spreadsheet. Try and avoid characters like quotation marks, apostrophes, semi-colons or tabs as too many of these may cause problems later.

  3. If you have more than 100 entries, create your schedule as two or more separate sheets and upload it in two parts.

  4. As you work, save the spreadsheet in whatever format it works with (such as Excel .xls) so as to have a safe copy of your work.

  5. When you have entered the whole schedule, save it again using the “Save As” option, selecting “Save as Type” - “Text (Tab Delimited)” (preferred) or “Save as Type” - “CSV (comma delimited)”.

  6. While saving the file you may be prompted about not saving multiple sheets or warned about loss of formating. Just click OK.

Your schedule is now ready for Upload to deepsea.co.uk.


Preparing Schedules for Upload Using a Word Processor

  1. Example of schedule upload preparation in MS WordTo prepare a schedule using a word processor such as MS Word, create a table with columns for date, description and cost.

  2. Each entry on your schedule must be a single row of the table. Try and avoid characters like quotation marks, apostrophes, semi-colons, tabs or new lines within cells of the table as too many of these may cause problems later.

  3. When you have completed the table, use the mouse to select the entire table and click “Copy”.

  4. Then open a spreadsheet program, create a new empty spreadsheet, select the top left cell and click “Paste”.

You can now save the table from the spreadsheet as described above.



Schedule Download

Use to download a copy of a schedule to your computer. Downloaded schedules can be used to keep a backup of a schedule or for offline editing using a spreadsheet prior to using to restore it to deepsea.co.uk.

  1. On the Advanced Schedule Edit page, go to the Schedule Download section. Use the button to begin.

  2. On the next page, right click the link marked "Right Click Here" and then select “Save Target As” to download and save the schedule as a file on your own computer.

  3. Once the download is completed, click to confirm and return to the Advanced Schedule Edit page.

The downloaded file is in the “Text (Tab Delimited)” format used for Schedule Upload, so you can simply it back to deepsea.co.uk whenever you want.

You can also edit a downloaded schedule in a spreadsheet before uploading it back to deepsea.co.uk, or even copy the schedule information into a word processor document such as a newsletter.

Note that “Comments” and “Diving/Angling/Both” information are not included in the download file and cannot be uploaded.
